Privacy Policy

OpenHull Sync processes only the data needed to run the service, and we keep it in the European Union.

What we process

We process account, company, vessel, report, file, access-log, and support data to provide the service. Technical vessel data is usually not personal data, but account details, permissions, logs, signatures, and identifiable photos can be.

Where your data lives

Production customer data, media, and backups are intended to stay in the European Union.

AI-assisted PDF import

When you use AI-assisted PDF import, the report PDF file itself — together with the text extracted from it — is sent to our AI provider, Anthropic (Claude), solely to draft report metadata for your review. We do not send text alone; the full PDF is shared so the model can read it accurately, and the proposed values are checked against the source document.

Hull and inspection images and videos are processed locally and are never sent to AI providers.

What not to upload

Do not upload passports, identity documents, medical data, crew personal data, other sensitive data, or photos focused on identifiable people unless OpenHull Sync has explicitly agreed to that use case.

Subprocessors

We use subprocessors for hosting, security, email, source control, monitoring, and support: AWS, Cloudflare, Resend, Google Workspace, GitHub, Bugsnag, operational monitoring tools, and Anthropic (Claude) for AI-assisted PDF import.
